MEP Department Coordinator
Holder Construction is seeking an MEP Department Coordinator to join our team in Atlanta, GA
The MEP Department Coordinator supports the daily operations of the MEP team by managing administrative functions, coordinating internal and external communications, and ensuring efficient execution of departmental processes. This role works cross-functionally with operations, contracts, and accounting teams to support evaluations, reporting, scheduling, and event coordination.
Key Responsibilities
Contract & Preconstruction Support
- Own the full contract lifecycle: preparation, assembly, QA/QC, and issue/reissue contracts to Subcontractors via DocuSign and Adobe across entire projects.
- Maintain Contract Status Logs, and follow up with Subcontractors on timely execution of contracts.
- Ensure contract documents are accurate, complete, and routed correctly through the established workflow
- Assist in the collection, organization, review, and ongoing correspondence with Subcontractors on deliverables relative to project insurance and bonding requirements. Ensure Subcontractor information and paperwork is accurate and monitor Subcontractor compliance to company and project standards.
- Create and maintain Subcontractor and Prefabricator bid lists, engage in proactive review and follow up of prequalification information, distribute Contract Documents to Subcontractors, and quickly respond to Subcontractors throughout the course of the preconstruction phase of the project.
Vendor & Subcontractor Performance Metrics
- Follow up with operations staff to ensure vendor and subcontractor evaluations are completed, reviewed for quality, and accurately logged into SharePoint
- Manage and maintain performance evaluation logs with persistent follow-through, recognizing that these tasks may not always be top of mind for others.
Data Management & Reporting
- Lead the data entry and QA/QC of multiple critical department tools across Excel and SharePoint
- Maintain consistent accuracy and formatting across all sources of truth
- Support Power BI dashboards and data integrity for reporting workflows
- PowerBI experience a plus
Calendar, Travel, and Meeting Coordination
- Manage calendars and travel logistics for a leadership team of 8 and a management team of ~30
- Coordinate and schedule 4+ business update meetings per month with external vendors and subcontractors
- Schedule internal team meetings and take minutes when appropriate to document key discussions and follow-ups
- Department team building event coordination and setup across multiple regions
Training & Onboarding Support
- Coordinate onboarding for new associates, including scheduling training sessions with trainers and ensuring setup of binders, technology, and workspace
- Track completion of training workflows to ensure a smooth onboarding experience
Resource Center & Communication Support
- Maintain and organize the department’s Knowledge Center and shared content tools (e.g., internal wikis, folders)
- Create or edit Word and PowerPoint documents with attention to grammar, clarity, and professional formatting
- Apply a creative and structured lens to organize digital tools so they remain accessible and useful to the entire team
Non-Profit Administrative Support
- Provide administrative and event support for non-profit organizations, including accounting, logistics, and coordination of event planning tasks
Skills
- Perform work accurately and completely, in a timely manner
- Take initiative and demonstrate a proactive approach to daily tasks
- Capable of working on multiple projects at once
- Work independently while collaborating with project teams in order to support project needs
- Strong written and verbal communication; capable of crafting clear summaries and polished documents
- 3–5 years of experience in an administrative or coordinator role, ideally within construction, engineering, or professional services recommended but not required.
- Advanced proficiency in Microsoft Excel (lookups, pivots, formatting, validation) and PowerPoint, with familiarity in SharePoint, Word, and Power BI
- Excellent organizational skills with strong attention to detail and task follow-through
- Able to manage up, follow through persistently, and push tasks to completion with professionalism
